User Accounts
Account Creation
You may use Zap Bill without creating an account for limited functionality. To access full features, you must create an account by providing accurate and complete information.
Account Security
You are responsible for:
- Maintaining the confidentiality of your account credentials
- All activities that occur under your account
- Notifying us immediately of any unauthorized access
- Providing accurate and up-to-date information
Account Termination
You may terminate your account at any time. We may suspend or terminate your account if you violate these Terms or engage in prohibited activities.
Subscription and Payments
Free Tier
We offer a free tier that includes:
- 1 free invoice for unregistered users (lifetime)
- 3 invoices per calendar month for registered users
- Access to all templates and features
Paid Subscription
Our unlimited plan ($9.99/month) includes:
- Unlimited invoice creation
- Priority customer support
- Advanced features and templates
- Invoice management and tracking
Payment Terms
- Subscription fees are billed monthly in advance
- Payments are processed securely through Stripe
- All fees are non-refundable unless required by law
- You may cancel your subscription at any time
- Upon cancellation, access continues until the end of the billing period
Your Right to Cancel (Cooling-Off Period)
Under the UK Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 and, where applicable, the EU Consumer Rights Directive, you have a statutory right to cancel your subscription within 14 days of purchase without giving a reason.
However, by requesting immediate access to our service at the time of subscribing, you acknowledge that the service commences immediately. If you have accessed paid features, you consent to waiving your right to cancel and are not entitled to a refund for the period used.

Referral Programme
Zap Bill operates an optional referral programme. By participating, you agree to the following:
- Referral rewards are available to registered users with an active account in good standing.
- You may not abuse the referral programme by creating fake accounts, self-referring, or using fraudulent methods. We reserve the right to reverse any rewards obtained through abuse.
- Referral rewards are granted at our sole discretion and may be modified, suspended, or discontinued at any time without notice.
- Rewards are personal to your account and have no cash value unless otherwise stated.
- If your account is suspended or terminated, any pending or unclaimed referral rewards will be forfeited.
Online Payments
Zap Bill provides an optional feature allowing you to connect a Stripe account so your clients can pay invoices online. By enabling this feature, you agree to the following additional terms.
Platform Role
Zap Bill acts solely as a technology platform and is not a payment processor, bank, money transmitter, or financial institution. When you connect a Stripe account, you enter into a direct contractual relationship with Stripe, Inc. and must comply with Stripe's Terms of Service and Connected Account Agreement. stripe.com/legal/ssa.
Your Responsibilities
By connecting a Stripe account, you are solely responsible for:
- All transactions processed through your connected Stripe account
- Disputes, chargebacks, refunds, and their associated fees
- Compliance with all applicable tax laws and reporting requirements
- Ensuring your business and invoiced goods or services comply with Stripe's prohibited businesses policy
- Maintaining accurate and complete information with Stripe
Funds and Fees
Payments made by your clients go directly to your Stripe account. Zap Bill never holds, controls, or has access to your funds. Zap Bill charges a platform fee (currently 1%) on each payment collected online, deducted automatically before funds are transferred to your account. This is in addition to Stripe's own processing fees.
Limitation of Liability for Online Payments
Zap Bill is not liable for:
- Stripe account restrictions, suspensions, or terminations
- Failed, declined, delayed, or reversed payments
- Financial losses arising from disputes or chargebacks
- Stripe service outages, errors, or unavailability
- Any tax liabilities arising from payments you receive
Suspension of Payment Features
Zap Bill may suspend or terminate your access to the online payments feature at any time, including for violation of these Terms, violation of Stripe's Terms of Service, or where required by applicable law.
Acceptable Use Policy
You agree to use our service only for lawful purposes and in accordance with these Terms. You shall not:
- Create fraudulent, misleading, or illegal invoices
- Use the service for money laundering or other financial crimes
- Upload malicious content or attempt to compromise our systems
- Violate any applicable laws or regulations
- Infringe on intellectual property rights of others
- Harass, abuse, or harm other users
- Attempt to reverse engineer or copy our service
- Use automated tools to access or scrape our service
- Share your account credentials with others
User Content
Your Data
You retain ownership of all data you input into our service, including invoice information, client data, and uploaded files. You grant us a limited license to store and process this data to provide our services.
Content Standards
You represent and warrant that your content:
- Is accurate and not misleading
- Does not violate any laws or regulations
- Does not infringe on third-party rights
- Does not contain malicious code or content
- Complies with our Acceptable Use Policy
Content Removal
We reserve the right to remove or disable access to content that violates these Terms or is reported as inappropriate.
API Access
Zap Bill provides API access to certain features via personal API tokens. Use of the API is subject to these Terms in full, plus the following:
- API tokens are personal and confidential. You are responsible for keeping them secure and for all activity that occurs under your tokens.
- You may not use the API to scrape data in bulk, circumvent usage limits, or create automated systems that place unreasonable load on our infrastructure.
- We may apply rate limits to API usage at any time. Exceeding rate limits may result in temporary or permanent suspension of API access.
- We reserve the right to modify, restrict, or discontinue API access at any time, with or without notice.
Intellectual Property Rights
The Zap Bill service, including its design, code, templates, and functionality, is owned by us and protected by intellectual property laws. You may not:
- Copy, modify, or redistribute our service or code
- Use our trademarks or branding without permission
- Create derivative works based on our service
- Remove or alter copyright notices or branding
Disclaimers and Limitations
Service Availability
We strive to maintain high service availability but cannot guarantee uninterrupted access. We may experience downtime for maintenance, updates, or unforeseen circumstances.
Accuracy
While we provide calculation tools and templates, you are responsible for ensuring the accuracy of your invoices, tax calculations, and compliance with applicable laws.
Third-Party Services
Our service integrates with third-party providers (such as Stripe for payments). We are not responsible for the availability, accuracy, or performance of these third-party services.
Limitation of Liability
To the maximum extent permitted by law, Zap Bill shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:
- Loss of profits, data, or business opportunities
- Service interruptions or data loss
- Third-party actions or errors
- Errors in calculations or invoice content
Our total liability for any claims shall not exceed the amount you paid for our service in the 12 months preceding the claim.
Indemnification
You agree to indemnify and hold harmless Zap Bill from any claims, damages, losses, or expenses arising from your use of our service, violation of these Terms, or infringement of third-party rights.
Governing Law and Disputes
These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or your use of our service shall be subject to the exclusive jurisdiction of the courts of England and Wales, except that either party may seek injunctive or other equitable relief in any court of competent jurisdiction.
Nothing in these Terms affects your statutory rights as a consumer under English law.
Changes to Terms
We may update these Terms from time to time. We will notify you of significant changes by:

- Updating the "Last updated" date
- Sending email notifications for material changes
Your continued use of our service after changes constitutes acceptance of the updated Terms.
Force Majeure
Zap Bill shall not be liable for any failure or delay in performance caused by circumstances beyond our reasonable control, including but not limited to internet or hosting outages, third-party platform failures (including Stripe), government actions, natural disasters, or other events outside our control.
Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and Zap Bill regarding your use of our service and supersede all prior agreements, representations, and understandings, whether written or oral.
Severability
If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
