How to Invite Your Team

Open Team
Go to the account menu and choose Team. Anyone in the workspace can see who is in it, but only the owner can buy seats, invite people or change their roles.

Buy the seats you need
Your plan includes one seat, which is you. Set how many extra seats you want and update — you are charged for them straight away, pro rata for the rest of your billing period. You need a paid plan to buy seats, so this is not available during a trial.

Invite someone into a seat
Enter their email address and pick a role. A Member can create and edit invoices, quotes and customers; a Viewer can look at everything and change nothing. They get a link that only works for that address, so it cannot be forwarded to someone else.

They accept
The link works whether or not they already have a Zap Bill account. If they sign up through it, they join your workspace instead of starting one of their own. Nothing more is charged when they accept — the seat was paid for when you bought it.

Manage seats and access
Change someone's role, revoke an invitation that has not been accepted, or remove a member. Removing someone keeps everything they created — only their access goes. Their seat stays yours until you choose to release it, and releasing one credits your next invoice rather than refunding you.
Tips
- A pending invitation holds its seat until it is accepted or revoked. That is why sending one uses a seat straight away, and why revoking an invitation frees it again.
- Invitations expire after seven days. Resending one issues a fresh link and the old link stops working immediately — it does not cost another seat, because the invitation keeps the one it already had.
- Give an accountant or bookkeeper the Viewer role — they can see everything they need without being able to change your invoices.
